These Terms of Service govern access to Flow, the business operating record where client intake, work, commercial records, people, documents, communication history, and recorded money activity are held in one connected environment.

Flow is operated by MANAGE YOUR FLOW (PTY) LTD, registration number 2025/913048/07.

1. Acceptance of Terms

By accessing and using the FLOW platform, you acknowledge that you have read, understood, and agree to be bound by these Terms of Service and our Privacy Policy. If you do not agree with any part of these terms, please discontinue use of our services immediately.

2. User Responsibilities

• Maintain account security and confidentiality

• Provide accurate and current information

• Use the platform lawfully and ethically

• Respect other users' data and privacy

• Report security vulnerabilities responsibly

3. Prohibited Activities

• Violating applicable laws or regulations

• Attempting unauthorized access or hacking

• Distributing malware or harmful code

• Infringing on intellectual property rights

• Disrupting platform functionality

4. Intellectual Property

All content, features, and functionality of FLOW, including but not limited to text, graphics, logos, icons, images, and software, are the exclusive property of FLOW or its licensors and are protected by international copyright, trademark, and other intellectual property laws.

5. Limitation of Liability

To the maximum extent permitted by law, FLOW shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or business interruption, arising from your use of our platform.

6. Changes to Terms

We reserve the right to modify these Terms of Service at any time. We will notify users of significant changes via email or platform notification. Continued use of FLOW after such modifications constitutes acceptance of the updated terms.

Data Security

Flow uses controls including account authentication, email verification, request rate limiting, input validation, content-security policies, and security headers. No internet service can guarantee absolute security. Flow uses best efforts to keep internal administration views limited to company names, high-level account metadata, and aggregate usage signals, not tenant client records, documents, invoices, payments, or operational details.

Account Ownership

Each workspace has one subscription owner who controls billing and may invite up to 25 team members. Each user is responsible for activity under their own login, while the owner remains responsible for workspace access, invite links, devices, passwords, and subscription administration.

Service Availability

Flow may occasionally be unavailable because of maintenance, provider interruption, or an unexpected fault. Availability is not guaranteed, and customers should download copies of individual documents or supported exports they need outside Flow.
